Privacy Policy
Send Same Day is the data controller for the personal information described below. We keep this simple: we only collect what we need to move your goods and get paid.
What we collect
- Contact details — name, phone number, email address.
- Job details — collection and delivery addresses, postcodes, items, timings.
- Booking and tracking records — reference numbers, status history, proof of delivery photographs and signatures, ratings and feedback you leave.
- Payment records — amounts, dates and Stripe payment references. Card numbers are handled by Stripe and never reach our systems.
- Driver applicants only — licence, insurance and vehicle documents, and bank details for paying invoices.
Why we use it
To quote for work, carry out the delivery, keep you updated by email, take payment, provide receipts and invoices, handle claims and disputes, and meet our accounting and insurance obligations. Our lawful bases are performance of a contract, legitimate interests (running and securing the service) and legal obligation.
Who we share it with
Only where necessary: the assigned driver (delivery details), Stripe (payments), our email provider (notifications), our hosting and database provider, our accountant and insurers, and authorities where the law requires it. We never sell your data or use it for third-party marketing.
How long we keep it
Job, proof-of-delivery and payment records are kept for six years to meet UK tax and insurance requirements. Enquiries that don't become bookings are removed once they are no longer needed. Driver documents are kept for as long as the driver works with us plus six years.
Security
Data is stored in access-controlled databases with row-level security, encrypted in transit. Proof-of-delivery photographs are held in private storage and shared only through short-lived secure links tied to your tracking reference.
Your rights
Under UK GDPR you can ask for a copy of your data, correction of anything inaccurate, deletion where we no longer need it, restriction or objection to processing, and portability. Email info@sendsameday.co.uk or call 01484 706226 and we'll respond within one month. If you're unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
We use only the cookies and local storage needed to keep you signed in and to remember your quote while you complete a booking. We do not run advertising trackers.
